Social Events Leader
Vancouver

The Social Events Leader plays an important role in promoting and leading social events activities for students. The Social Event Leader must possess a positive and upbeat personality with a desire to deliver an outstanding customer service and engaging experience to the students during their study time.

This is a part-time position (25-30 hours per week), based in Vancouver; work schedules may vary on weekly basis, depending on demand, including evenings and weekends.

Selected Job Responsibilities:

  •  Lead walking tours, social and recreational activities for students;
  • Actively engage in student activities to ensure student involvement and active participation, as well as maximize student positive experience;
  • Assist with events/excursions attendance records, ensures students receive proper directions and instructions, ensure groups stay together throughout the event/ excursions;
  • Assist in preparation of equipment and documents necessary for each event/ excursion;
  • Organize and participate in student orientations; prepare all materials and equipment needed;
  • Refer all inquiries from the students to the appropriate individuals, or departments across the organization;
  • Performs other duties as required;
  • High level of coordination and organization of multiple tasks simultaneously

 

Requirements 

  • Working experience in recreational field, event planning preferred (highly desired);
  • Excellent customer service, communication, and problem-solving skills;
  • Ability to lead groups;

Senior Social Events
Vancouver

At ILAC, we are all about creating an exceptional and meaningful life experience for our students. We are looking for a highly motivated, dynamic and dedicated coordinator who will be responsible for researching, planning, booking, coordinating, promoting and leading Social Events that are created by them, to join our social events team, to serve our students and enhance their experience. The Candidate must have strong leadership skills, excellent communication and customer service skills. Additionally, the candidate must be able to work successfully in a fast-paced and entrepreneurial environment.

 

This is a full-time position, based in Vancouver, work schedules may vary on a weekly basis, depending on demand, including weekends and evenings.

 

Selected Job Responsibilities:

  • Research and plan an assigned number of activities/social events per month;
  • Report research and plan to Social Events Planner for approval/adjustments. Including target student demographic, target attendance number, expected cost and logistics;
  • Proceed with necessary bookings and creation of promotion strategy/ material of activity/ event;
  • Assist in planning, booking and leading of other activities/events as assigned;
  • Ensure all documents, maps, flyers or any other necessary tools are ready on the day of the event;
  • Ensure attendance list is up to date for each activity/event;
  • Ensure assigned supporting staff is properly trained for the activity/event;
  • Act as the leader of each activity/event, answer supporting staff questions, give them proper directions;
  • Greet all students, ensure they are given correct information, answer their questions, provide guidance to all students as needed;
  • Ensure students safety measures are taken at every step of the way;
  • Ensure students are happy;
  • Determine when certain elements of the activity/event need to be modified to increase student satisfaction when needed;
  • Report actual attendance, actual costs – analyse success of activity/event, provide feedback for improvements if needed;
  • Other duties as required;

 

Requirements:  

  • College diploma in a related field, or an appropriate combination of education and experience;
  • Complete fluency in English, another language is an asset;
  • Minimum 1-year successful experience working with International students, preferably in a similar setting (recreational or event planning field highly desired);
  • Strong knowledge and familiarity with Vancouver local attraction sites and touristic points of interest;
  • Strong leadership skills;
  • Strong customer service and problem-solving skills;
  • Accuracy and attention to details;
  • Ability to work effectively in a team and independently;
  • Experience with Microsoft Office programs (Outlook, Word, Excel, PowerPoint)

Job Summary

As the frontline person, the Homestay Coordinator plays a pivotal role as the first point of contact for students as well as homestay families. The Homestay Coordinator orchestrates the relationship between Students, Homestay families, and ILAC by proactively and promptly responding to inquiries, resolving concerns and handling all Student-Homestay Families related requests. Between answering phone calls from Students and Homestay Families, closely monitoring online requests and matching ILAC students with homestay families, the Homestay Coordinator ensures a smooth and enjoyable experience for Students as well as Homestay Hosts while delivering highest levels of client satisfaction as measured by customer satisfaction surveys, and highest occupancy rates.

What you could be doing:

  • Answer phone calls, e-mail, and in-person inquiries from host families, students, and internal staff;
  • Handle pre-bookings for potential and tentative students, as well as handle bookings for students who are accepted to school;
  • Establish and continuously build productive and healthy relationships with homestay families;
  • Manage scheduling payments for hosting families. Support HS Director on weekly payment reviews;
  • Manage homestay extension requests through the internal system;
  • Handle and resolve escalated homestay issues;
  • Handle emergency line on rotation basis;
  • Track any changes in students’ homestay program duration communicates information about any changes to the host families promptly;
  • Review invoices for external providers; Airport Greeters, HS Visitor, etc.;
  • Send a Homestay survey to students, analyze survey results and summarize HS Survey results.
  • Visit Homestay families as may be required;
  • Enforce policies and procedures established by ILAC;
  • Other duties as required.

Job Summary:

The Regional Ambassador is responsible for providing an ongoing support to all students and agents alike, while actively answering students’ inquiries to ensure the high-quality customer experience is consistently delivered. Regional Ambassadors process student registrations, process agent invoices and provide all related supporting documentation necessary in a timely fashion. This position calls for cooperation with a number of business units and departments within ILAC like Accounting, Homestay, Academic, and others to ensure an exclusive customer experience is extended to all students.


What you could be doing:
 

  • Welcomes students and visitors, and presents positive and professional image of the organization to them;
  • Responds to telephone, e-mail, and in-person inquiries from agencies and students; Ensures students and agents receive an outstanding customer service experience;
  • Provides information and delivers walking tours to prospective students and agents when needed;
  • Maintains positive business relationships with agencies;
  • Answers agent inquires about packages and prices, registers new students in EDMISS based on the applications received from the agents;
  • Communicates with agents at all steps of the registration process as needed;
  • Accurately calculates fees and student bookings;
  • Regularly monitors offers on a weekly basis and ensures offers closed in a timely manner; follows up with agencies on outstanding balances;
  • Coordinates the booking and arrival process with all key departments involved (Accounting, Homestay);
  • Stores collected student personal information confidentially and securely; uploads all necessary documentation to EDMISS;
  • Organizes and delivers orientation sessions for the new students;
  • Coordinates Late arrival students with the Academic department;
  • Acts as a key contact for current students : provides an information about classes, programs, attendance, homestay to students; answers student inquiries on personal questions and problems, local facilities and services, banking information, personal safety and care of valuables; refers services available for: CIC, medical services, housing, financial and legal advice, child care, tutoring as required; provides translation help when needed;
